Who this covers
This policy covers the Disctilldawn Client Portal, Disctilldawn mobile app and Disctilldawn Crew app. Disctilldawn Entertainment is responsible for the personal information handled through these services. Privacy questions can be sent to info@disctilldawn.co.uk.
Information we handle
Depending on how you use the service, we may handle your name, email address, telephone number, postal and venue addresses, event and booking information, planning-form answers, music requests, messages, contracts, invoices, payment status and transaction references. We also process account and security information such as password hashes, sessions, passkey identifiers, notification tokens, IP addresses, device or browser information and limited diagnostic records.
How we use it
We use this information to manage enquiries and bookings, deliver contracted event services, provide the client and crew portals, process and reconcile payments, send service messages and reminders, prevent fraud, secure accounts, troubleshoot faults and meet legal, tax and accounting obligations. We do not sell personal information.
Legal bases
We process information where it is necessary to take steps at your request or perform a contract, comply with a legal obligation, or pursue legitimate interests such as operating and securing the service, communicating about an event and maintaining accurate business records. Where consent is the appropriate basis, you may withdraw it without affecting processing already carried out.
Service providers and sharing
Information is shared only where needed to operate the service or deliver an event. Providers may include hosting and backup services, email and SMS delivery services, Firebase Cloud Messaging and Apple Push Notification service, Stripe, GoCardless, mapping/search services and contractors assigned to an event. Contractors receive only the booking information needed for their work. Payment-card and bank-authentication details are entered into the relevant payment provider's secure service and are not stored as full credentials by Disctilldawn.
International processing
Some technology providers may process information outside the United Kingdom. Where this happens, we require an applicable legal transfer mechanism and appropriate safeguards through the provider's contractual and data-protection terms.
Security
We use encrypted HTTPS connections, access controls, authenticated portal sessions, restricted staff and contractor access, secure password hashing and operational backups. No online service can promise absolute security, so please contact us immediately if you believe your account or information has been compromised.
Retention and deletion
We retain information only for as long as it is needed for the purposes above. Booking, contract, invoice and payment records may be retained where required for legal, tax, dispute-resolution or fraud-prevention purposes. When an account or data deletion request is completed, information that is not subject to a legitimate retention requirement is deleted or anonymised. Any retained information is restricted to the applicable purpose and is not kept as an active portal account.
Your choices and rights
You can ask for access to, correction of or deletion of your personal information, or object to or restrict certain processing where applicable. You may also ask for portable information where that right applies. You can disable app notifications in your device settings. To request deletion, use the dedicated request page below; deleting the mobile app from your device does not itself delete portal information. If you are unhappy with how a privacy concern is handled, you may complain to the UK Information Commissioner's Office.
Children
The portals and mobile apps are intended for adult event clients and authorised contractors. They are not directed to children and children should not create or use a portal account.
